Meetings are very important for every organization. Leaders should improve their management skills because these skills can help them to run effective meetings. These tips will help leaders to plan effective meetings.

Plan and outline the meeting 

Leaders  have to plan the meeting by setting the purpose of the meeting and establishing the goals of the meeting. Susan M. Heathfield , in The Balance, says ” Your meeting purpose will determine the meeting focus, the meeting agenda, and the meeting participants you need to accomplish the purpose”.

Make sure you need a meeting

Some goals can be accomplished by communicating with your employees or by requesting information via email. Make sure that the meeting is needed because holding a meeting “is expensive when you account for the time of the people attending, so make efforts to determine that a meeting is the best opportunity to solve the problem, improve the process, or make an ongoing plan”.

Encourage open discussion and participation at the meeting

Encourage attendants to discuss /express their opinion especially those who tend to be shy.

 Create a meeting follow-up plan

According to Susan M. Heathfield the follow up plan should include 

  • “The specific action item,
  • the name of the person who committed to “owning” the accomplishment of the action item,
  • the due date of the action item, and
  • an agreement about what constitutes completion of the action item”.
